HJF is seeking an Administrative Assistant I to support the Consortium for Health & Military Performance (CHAMP) for the Military and Emergency Medicine (MEM) Department located at the Uniformed Services University of the Health Sciences (USUHS) in Bethesda, Maryland. HJF provides scientific, technical and programmatic support services to MEM. The incumbent serves as an administrative assistant for the CHAMP’s research projects and assists in human research recruitment as well. Responsibilities include purchasing laboratory and office supplies, administratively support research staff at USU, recruiting participants, and communicates with community partners. The incumbent will report to the Director of Research.


  1. Assist research staff with administrative tasks, such as preparing consent forms, maintaining files, copying, faxing, mailing documents, and operating automated office equipment as needed.
  2. Coordinate and assist in mailing participant packets with the research staff.
  3. Assist with monitoring audits/visits for research protocols with research director, PIs and PMs.
  4. Perform property custodial duties for equipment and computers for the researchers.
  5. Schedule room for meetings and presentations for the researchers.
  6. Maintain office supplies by checking stock and ordering supplies for the research directorate.
  7. Work with University facilities and help desk support to maintain and repair office equipment.
  8. Assist with staff, students, and interns with the entry and exit process.
  9. Arrange parking and visitor access to USU.
  10. Works with diverse populations in health fair settings for study related recruitment initiatives.
  11. Travel from assigned workplace to other sites as needed to support Sickle Cell Trait protocol, a predominantly African American research study, as needed.
  12. Recruit and interview participants for research protocols, and schedule appointments and visits.
  13. Screen participants for eligibility for participating in research protocol; obtain participant informed consent and HIPAA authorization.     
  14. Performs other duties as needed.

Required Knowledge, Skills, and Abilities:   Knowledge of proper grammar, punctuation, spelling, etc.; excellent communication, interpersonal, and computer skills; ability to communicate effectively and to work with a diverse group of individuals; demonstrate excellent planning and organizational skills; ability to complete tasks on a timely manner when working on multiple projects; ability to maintain a professional manner.

Minimum Education/Training Requirements: Associate Degree required. Bachlors Degree in Business Administration, Management, or similar degree

Minimum Experience:  0 to 2 years of experience

Physical Capabilities:  Long periods of sitting.

Supervisory Responsibilities/Controls: Reports directly to the CHAMP Director of Research

Work Environment: Office environment; possible evening and/or weekend hours. Requires work on military base with requirement for background investigation.

Background: Eligibility to obtain a Common Access Card (CAC); eligibility to obtain and hold a Public Trust background.
