HJF is seeking an Administrative Assistant to support Viral and Rickettsial Diseases Department (VRDD) in the Naval Medical Research Center (NMRC), Silver Spring, Maryland. Incumbent will assist the Program Manager to perform a wide range of administrative and clerical duties for the department. Work is moderately complex in nature and judgment is required in resolving problems.

Responsibilities:

  1. Type, submit and track procurements for department. Follow purchasing policy and guidelines and resolve procurement issues to meet procurement submissions deadline.
  2. Prepare and sort mails; route documents for signatures/approvals.
  3. Sets up and maintains department files.
  4. Assist personnel check-in, badge renewal and travel request submissions; maintain in-out board, department roster and on-line department calendars.
  5. Maintain department office supplies and office equipment.
  6. Maintain and track department records on IRB submissions and human subject research protocols.
  7. Makes room reservation for meetings as necessary
  8. Perform typing assignments and proofreads all work; draft memos/letters for the Department Head as needed.
  9. Assist with organizing and completing department projects.
  10. Perform other duties as assigned.

Required Knowledge, Skills, and Abilities:  Knowledge of proper grammar, punctuation, spelling, etc.; excellent communication and organization skills; ability to type and use Microsoft Word, Excel, PowerPoint, and Outlook, and effectively communicate with a diverse group of people.

Minimum Education/Training Requirements:  Associate’s or college degree

Minimum Experience: 0 to 2 years office experience

Work Environment:  Office environment

Background: US Citizenship is required; Eligibility to obtain Secret Clearance.
