The Henry M. Jackson Foundation (HJF) is looking for an Administrative Assistant II to support research and program objectives at the Naval Medical Research Unit ‐ San Antonio (NAMRU‐SA). HJF provides scientific, technical and programmatic support services to NAMRU-SA at Fort Sam Houston, TX.

ESSENTIAL JOB DUTIES:

  • Answer telephones, take detailed messages and/or transfers to appropriate staff member.
  • Meet and greet clients and visitors.
  • Create and modify documents and forms using Microsoft Office.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Maintain hard copy and electronic filing system.
  • Sign for and distribute UPS/Fed Ex/Airborne packages.
  • Takes initiative when assigned new projects; organizes, follows through, and completes the projects.
  • Maintains calendar for conference room and assists staff in material preparation for meetings in conference room.
  • Maintain staff mail boxes and distributes mail.
  • Assists with preparation of materials or documentation for off-site meetings.
  • Support staff in assigned project based work.

Required Knowledge, Skills, and Abilities:  

  • Experience in support of Executive staff at a major corporation or military command;
  • Strong communication skills and well‐developed interpersonal skills;
  • Display discretion, good judgment, organizational or management ability, initiative, and the ability to work independently;
  • Thorough knowledge of military protocol and etiquette to deal tactfully and diplomatically with all levels of military personnel including flag officers and foreign attaches;
  • Knowledge of the application of web browsers in order to conduct research on the
  • World Wide Web; and 
  • Fluent in the use of Microsoft Word and Excel software programs.

Minimum Education/Training Requirements:

  • Associate’s Degree in business and a clerical field with two years of experience.  Individuals with documented administrative experience of four years or greater will be considered in lieu of an Associate’s Degree
